The Directorate General Civil Defence, Ministry of Interior, Government of Pakistan (“DGCD,” “we,” “our,” or “us”) operates the Civil Defence HR App for official human resource and employee attendance purposes.

This Privacy Policy explains what information the App accesses, why it is required, and how it is protected.

1. Information We Process

The App may process the following information:

  • Employee account and profile information maintained in the Civil Defence HR Management System.
  • Login and authentication information.
  • Attendance records, including the date and time of attendance.
  • Current device location only when the employee submits attendance.
  • A device notification token for delivering official notifications and HR updates.

2. App Permissions

The App requests only the following permissions:

Notification Permission

The notification permission is used to send official HR notices, attendance updates, reminders, and other administrative information.

Users may disable notifications through their device settings. Disabling notifications does not prevent access to other App features.

Location Permission

Location permission is required only when an employee submits attendance.

  • The App accesses the employee’s current location at the time of attendance submission.
  • Location is used to verify that attendance is submitted from an authorized location.
  • The App does not continuously track users.
  • The App does not access location when it is closed or running in the background.
  • The App does not use location for advertising or marketing purposes.

If location permission is denied, the App may be unable to verify or submit location-based attendance.

3. Permissions We Do Not Request

The App does not request access to:

  • Camera
  • Microphone
  • Contacts
  • SMS messages
  • Call logs
  • Photos, videos, or personal files
  • Background location

4. Purpose of Information Processing

Information is processed only for official purposes, including:

  • Managing employee HR records.
  • Authenticating authorized employees.
  • Recording and verifying attendance.
  • Sending official notifications and reminders.
  • Maintaining the security and proper functioning of the App.
  • Meeting administrative, audit, and legal requirements.

5. Information Sharing

We do not sell, rent, or use employee information for commercial advertising.

Information may be accessible only to:

  • Authorized DGCD officials and HR administrators.
  • Relevant government authorities where required for official or legal purposes.
  • Approved technical service providers that support the App and are required to protect the information.

6. Data Storage and Retention

Attendance, location, and HR information may be stored on secure DGCD systems for as long as required for official recordkeeping, administrative, audit, security, or legal purposes.

Location information submitted with attendance becomes part of the official attendance record. It is not used for continuous monitoring.

7. Data Security

Reasonable administrative and technical measures are used to protect information against unauthorized access, loss, misuse, alteration, or disclosure. Access to employee information is restricted to authorized personnel.

However, no electronic system or internet transmission can be guaranteed to be completely secure.

8. Employee Rights and Requests

Employees may contact the Directorate General Civil Defence to:

  • Request correction of inaccurate profile information.
  • Report unauthorized access or suspected misuse.
  • Ask questions about their attendance or HR records.
  • Request information about the handling of their personal data.

Certain official HR and attendance records may not be deleted where retention is required for administrative, audit, or legal purposes.

9. Children’s Privacy

The Civil Defence HR App is intended only for authorized employees and officials. It is not designed for children or the general public.

10. Changes to This Privacy Policy

This Privacy Policy may be updated when App features, legal requirements, or administrative procedures change. The revised policy will be published through the App or the official DGCD website with an updated effective date.
